This privacy policy explains how PolicyChecked ("PolicyChecked," "we," "us") collects, uses, shares, and protects information when you use our website and application (the "Service").
1. What the Service is
The Service is a document-organization and renewal-preparation tool. It is not an insurance company and does not provide insurance advice, quotes, or coverage decisions.
2. Information we collect
Information you provide
- Account information: name, email address, and password (passwords are handled by our authentication provider and are never stored by us in readable form).
- Business profile information: legal business name, DBA, contact name, email, phone number, business address, county, trade, and optional ranges such as employee count.
- Policy records you enter: policy type, carrier name, listed dates, and optional notes. Policy numbers are stored encrypted, and only the last four characters are displayed by default.
- Documents you upload, such as declarations pages and certificates of insurance.
- Review requests, contact preferences, and communication consents.
- Messages you send through the contact form.
Information collected automatically
- Security and audit records of actions in your account, such as sign-ins, uploads, and document access.
- A one-way keyed hash of your IP address and browser user agent, used for security, rate limiting, and consent records. We do not store your raw IP address with these records.
- Essential cookies needed to keep you signed in. We do not use advertising cookies.
3. How we use information
- To provide the Service: store and organize your documents, show your listed renewal dates, and send the reminders you choose.
- To handle a review request you submit, including contacting you by the method you select.
- To protect the Service and our users: prevent abuse, investigate security events, and keep audit records.
- To meet legal obligations.
We do not sell your personal information. We do not use your documents to train artificial intelligence models.
4. Who can access your information
- You.
- Authorized staff and the licensed producer in the organization handling your review, limited by role.
- Service providers that host or operate the Service (for example, database, file storage, and email delivery providers), under contracts that limit their use of the data.
- Anthropic, which provides the automated service (Claude) that reads documents you upload to create a factual summary for you, when that feature is enabled. Anthropic processes the document to produce the summary and does not use it to train its models.
- Others where required by law, or with your direction or consent.
5. Text messages
If you choose text message as your contact method for a review request, we use it only to coordinate that review. We do not send marketing text messages without your separate, explicit consent, and we do not send policy documents, policy numbers, or coverage details by text message.
6. Retention and deletion
We keep information for as long as your account is active and as needed for the purposes above, security, and legal obligations. You may request an export of your information or the deletion of your account or documents from your account settings. Some records, such as audit logs, may be retained where required.
7. Security
We use access controls, private storage, and audit logging to protect your information. No system is completely secure, and we cannot guarantee absolute security. See our security page.
8. Your choices
- Update your profile and business information at any time.
- Turn renewal reminders on or off.
- Request an export or deletion of your data.
9. Children
The Service is intended for business owners and is not directed to children under 18.

We will post changes to this policy on this page and update the date above.
